The “It's Not Actually Okay” Communication Guide

How to respond calmly when something bothered you instead of saying “it's okay” and feeling resentment later.

By Tayo Oloja·6 min read·Beginner

Why We Say “It's Okay” When It Isn't

Many people default to “it's okay” because of three psychological patterns:

•

Conflict avoidance

Your brain chooses immediate peace instead of honest communication.

•

Emotional shock

You weren't expecting what happened, so your brain buys time.

•

Lack of language

Most people actually don't know what to say in that moment.

The problem: When you repeatedly say “it's okay” when it isn't, your brain stores the unresolved emotion. Over time this turns into resentment, distance, or passive aggression. Healthy communication is not about confrontation — it is about clarity.

The 4-Step Response Framework

Instead of reacting emotionally or suppressing the feeling, use this structure.

1

Pause the moment

Give yourself space before responding. This prevents automatic people-pleasing responses.

“Give me a second to think about that.”

“I need a moment to process what you said.”

2

Acknowledge the situation

Recognise what happened without attacking the person. This keeps the conversation calm.

“I understand what you were trying to say.”

“I see where you were coming from.”

3

Express the impact

Explain how the action affected you. This communicates truth without escalation.

“That comment actually caught me off guard.”

“That situation didn't sit well with me.”

“I felt uncomfortable when that happened.”

4

Clarify what you need

State what would work better moving forward. Now the conversation becomes solution-focused.

“Next time I'd prefer we discuss it first.”

“I'd appreciate a heads-up before that happens.”

“I'd like us to handle it differently next time.”

Practical Scripts: Workplace

Instead of“It's okay.”
Say
✓“I understand the situation, but that approach didn't work well for me. Next time can we align first?”
✓“I know that wasn't your intention, but that created some confusion on my side.”
✓“I'd prefer we handle feedback privately moving forward.”

Practical Scripts: Everyday Interactions

Instead of“It's fine.”
Say
✓“I know you didn't mean harm, but that actually upset me.”
✓“That situation didn't feel great for me. Can we talk about it?”
✓“I'd appreciate it if we handled that differently next time.”
